Uploading & Managing Documents on an Order

NotaryDash lets you attach documents directly to an order so they're accessible to the assigned notary. This article covers how to upload documents, how notaries access them, and how to archive documents you no longer need active.

Supported File Types

Accepted formats are PDF, JPG, and PNG. Maximum file size is 8MB per document.

For best results, upload documents as PDF files whenever possible.

Uploading Documents to an Order

Documents can be uploaded when you first create an order or at any point afterward from the order detail page.

  1. Open the order and navigate to the Documents section.
  2. Click Add New to select a file, or drag and drop files into the upload area.
  3. Select the file or files from your device.
  4. Wait for the upload to complete. Uploaded files will appear in the document list.

All documents are transmitted securely. Files are encrypted in transit so that only authorized users on the order can access them.

You can upload multiple documents to a single order. Each file must be under 8MB.

How Notaries Download Documents

Once a notary is assigned to the order, they can access and download documents from the order detail page on their end. They will typically download these before the signing appointment to review and print the package.

Notaries can download documents from the order. They can also upload documents (such as scanbacks) — but they cannot modify or delete documents you've attached.

How Signing Services Download Completed Documents

After the signing is complete, the notary may upload scanned copies of the signed documents (scanbacks) to the order. You can download these from the same Documents section on the order. Use Download All to grab everything at once, or click Download next to an individual file.

Archived Documents

If a document is no longer relevant — for example, if you uploaded an incorrect version — you can archive it to keep the document list clean. Archiving hides the file from the main view but never permanently deletes it.

To archive a document, select it and click Archive.

To view archived documents, click Archived Documents at the bottom of the Documents section. Archived documents can be viewed and downloaded but cannot be moved back to the active list. Click Active Documents to return to the main view. If you need an archived document back in the active list, simply re-upload it.
